Editing Reports, Report Cell Values, and Saving Reports

Overview

zzTakeoff reports are fully interactive, allowing you to customize report data, update cell values, and save your changes for future use. This flexibility makes it easy to refine quantities, add notes, adjust pricing information, and create reports that match your estimating workflow.

Editing Report Data

Many report types in zzTakeoff allow you to directly edit information within report cells.

To Edit a Cell Value

  1. Open the desired report.
  2. Locate the cell you want to modify.
  3. Click directly inside the cell.
  4. Enter the new value.
  5. Press Enter or click outside the cell to apply the change.

Depending on the report type, editable fields may include:

  • Description
  • Item Name
  • Cost Values
  • Labor Values
  • Markup Values
  • Notes
  • Custom Fields
  • User-defined columns
Note: Some calculated fields are generated automatically and cannot be edited directly.

Understanding Editable vs. Calculated Fields

Reports may contain two types of data:

Editable Fields

These fields can be manually changed by the user.

Examples:

  • Unit Cost
  • Labor Rate
  • Description
  • Notes
  • Custom Data Fields

Calculated Fields

These fields are generated automatically based on takeoff data or formulas.

Examples:

  • Quantity Totals
  • Extended Costs
  • Area Calculations
  • Length Totals
  • Count Totals

Calculated values update automatically whenever the underlying data changes.

Making Multiple Changes

You can update multiple cells throughout a report before saving.

Common workflow:

  1. Generate the report.
  2. Review quantities and totals.
  3. Update pricing or labor values.
  4. Add comments or notes.
  5. Save the report.

This allows estimators to customize reports without affecting the original takeoff measurements.

Saving a Report

After making changes, save the report to preserve your edits.

To Save a Report

  1. Open the report.
  2. Make any desired modifications.
  3. Click Save Report.
  4. Enter a report name if prompted.
  5. Confirm the save operation.

The saved report can be reopened later with all edits intact.

Updating an Existing Saved Report

If you reopen a saved report and make additional changes:

  1. Edit the desired values.
  2. Click Save Report again.
  3. Choose to overwrite the existing report or save as a new version.

This allows you to maintain report revisions as project information changes.

Saving Report Templates

If your organization regularly uses the same report layout:

  1. Configure columns and filters.
  2. Adjust sorting and grouping.
  3. Save the report configuration.

Saved templates help ensure consistency across projects and reduce setup time for future reports.

Best Practices

  • Review report totals after making manual edits.
  • Use notes fields to document adjustments.
  • Save important reports before making major modifications.
  • Create separate report versions when comparing different pricing scenarios.
  • Use saved report templates to standardize company reporting.

Summary

zzTakeoff reports can be customized by editing supported cell values directly within the report. Users can adjust pricing, descriptions, notes, and other editable fields while calculated values continue to update automatically. Once changes are complete, reports can be saved, reopened, updated, and reused throughout the estimating process.
