Exporting Reports to Excel or .csv File

Overview

zzTakeoff allows you to export report data directly to Microsoft Excel for further analysis, customization, sharing, and integration with other workflows. Exporting reports provides a simple way to work with your takeoff data outside of zzTakeoff while maintaining the report structure and information you've created.

Why Export Reports?

Exporting to Excel can help you:

  • Share takeoff information with team members or customers
  • Perform additional calculations and analysis
  • Create custom presentations and summaries
  • Import data into estimating or project management software
  • Archive report data for future reference

Exporting a Report

  1. Open the report you would like to export.
  2. Apply any desired filters, sorting, or column selections.
  3. Click the Export button located in the report toolbar.
  4. Select Excel (.xlsx) as the export format.
  5. Choose a location on your computer to save the file.
  6. Open the exported file in Microsoft Excel or another compatible spreadsheet application.

What Gets Exported?

The exported Excel file includes:

  • Visible report data
  • Applied filters and report results
  • Selected report columns
  • Quantity and measurement information
  • Item details displayed in the report
Note: Only data currently displayed in the report will be included in the export. If certain columns are hidden or filters are applied, those settings will be reflected in the exported file.

Tips for Better Exports

Configure Columns First

Before exporting, review your report columns and ensure only the information you need is visible. This helps keep exported spreadsheets clean and organized.

Apply Filters

Use report filters to export only the relevant data for a specific trade, area, phase, or scope of work.

Verify Sorting

Reports export in the same order displayed on screen. Apply sorting before exporting if a specific order is required.

Troubleshooting

Missing Data in the Export

If expected data is not included:

  • Verify the report filters are configured correctly.
  • Check that the necessary columns are visible.
  • Refresh the report and export again.

Excel File Won't Open

If the exported file cannot be opened:

  • Confirm the export completed successfully.
  • Try downloading the file again.
  • Open the file using a current version of Microsoft Excel or a compatible spreadsheet application.
