Sharing a Project with Others

Sharing a project in zzTakeoff allows you to collaborate with team members, subcontractors, or stakeholders by giving them access to view or work on the project. You can control who has access and what they are allowed to do.

Why Share a Project?

Sharing a project helps teams work together efficiently by:

  • Allowing multiple users to collaborate on the same takeoff
  • Providing access to project files and quantities
  • Keeping everyone aligned on updates and progress
  • Controlling permissions for viewing or editing
  • Improving communication across teams

How to Share a Project

Follow these steps to share a project with others:

  1. Open your Workspace
  2. Navigate to the Projects section
  3. Select the project you want to share
  4. Click Share or Manage Access
  5. Enter the user’s email address
  6. Choose their permission level
  7. Click Send Invite or Save

The user will receive an invitation to access the project.

Permission Levels

When sharing a project, you can assign different permission levels.

Viewer

  • Can view project information and takeoffs
  • Cannot make changes
  • Ideal for stakeholders or clients

Editor

  • Can modify takeoffs and project data
  • Can upload files and update quantities
  • Ideal for team members and estimators

Admin (if available)

  • Full control of the project
  • Can manage access and permissions
  • Can edit or delete project content

Managing Project Access

You can update or remove access at any time.

To manage access:

  1. Open the project
  2. Click Share or Access Settings
  3. View the list of users
  4. Change permissions or remove users
  5. Save changes

Changes take effect immediately.

Removing Access

To remove someone from a project:

  1. Open Share Settings
  2. Find the user
  3. Click Remove
  4. Confirm the action

The user will no longer have access to the project.

Best Practices

  • Only share projects with necessary team members
  • Assign Viewer access for external stakeholders
  • Use Editor access for estimators and project contributors
  • Regularly review project access
  • Remove access when users no longer need it
